Who can access videos on Steplab once they are uploaded?
The video content can always be accessed by the teacher and the individual who recorded the video, assuming they aren’t the same person. Furthermore, a coach assigned to the teacher can view the teacher's videos. Users with Lead permissions are granted access to this content as well, for safeguarding purposes. Additionally, the teacher can also choose to share video content with other users or authorise a Lead to use the video for wider training purposes. Equally, the teacher has the option to delete or remove access to their video at any time.

Data is encrypted at rest and in transit according to best practices. You can read more about our data security here https://steplab.co/support/policies. While recordings are being uploaded to Steplab, they cannot be accessed outside of the Steplab Record app or Steplab website. Teachers, video creators and leads can choose to delete videos from Steplab.
How do we communicate to students’ parents and carers about the use of lesson recordings, do we specifically need to inform families that we are doing this?
How do we communicate to students’ parents and carers about the use of lesson recordings, do we specifically need to inform families that we are doing this?
You do not need to inform parents and carers provided if you already have a media agreement. If you do not have a media agreement then you'll need to have this in place. A media agreement allows permission to film students for the purposes of teacher development and is often covered by a school’s standard agreement. If you need support devising your media agreement, you can find useful templates provided by the Kent County Council including policy templates and letters to parents here.
Do you have any suggestions for how teachers can explain the purpose of recording lessons to students?
Do you have any suggestions for how teachers can explain the purpose of recording lessons to students?
We suggest the following approach should be taken:
Explain why you are recording lessons and how it works to all students.
Inform students that they are not the subject of the video and that the purpose is to train teachers to improve their practice.
Explain that the videos are never stored on teacher phones and are securely saved on encrypted servers.
Explain that nobody outside of the school can access the video.
Do you have any data management or security policies that we could share with staff or parents if they request this information?
